Vendor Check (“we,” “us,” “our”) provides tools to help businesses review vendor contracts and invoices for billing discrepancies. This Privacy Policy explains what information we collect, how we use it, and your choices regarding that information.
Account information: your name, email address, and authentication credentials (or your Google account information if you sign in with Google). Contract and invoice data: documents you upload (PDFs, images) and the information our AI extracts from them, including vendor names, contract terms, invoice line items, and amounts. Connected accounting service data: if you choose to connect a third-party bookkeeping service (such as Zoho Books, FreshBooks, or others we may support), we store the access credentials needed to communicate with that service on your behalf, along with basic account identifiers such as your organization or business name from that service. Usage information: information about how you interact with the app, collected for troubleshooting and improving the service.
We use the information we collect to provide and operate Vendor Check, including extracting and checking contract and invoice data; to communicate with you, including account-related emails such as password resets and confirmations; to connect to and act on your behalf with third-party accounting services you choose to link, such as creating bill records; and to maintain and improve the security and reliability of the service.
We rely on third-party providers to operate Vendor Check, including a cloud database and authentication provider to store your account and application data, AI service providers to extract and analyze the content of uploaded contracts and invoices, an email delivery provider for account-related emails, and accounting service providers such as Zoho Books or FreshBooks that you explicitly choose to connect. These providers only receive the information necessary to perform their function and are not authorized to use your data for their own purposes.
We take reasonable technical and organizational measures to protect your information, including restricting access to sensitive data such as connected-account credentials to server-side processes only. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
We retain your information for as long as your account is active or as needed to provide the service. You may request deletion of your account and associated data at any time.
You can disconnect a connected accounting service at any time, which stops us from accessing that account going forward. You may request access to, correction of, or deletion of your personal information by contacting us.
Vendor Check is not directed to children under 16, and we do not knowingly collect information from them.
We may update this Privacy Policy from time to time. We will post the updated version on this page with a new effective date.
